How to create a Booking QR code
- 1
Copy your booking link
Copy the public link to your scheduling page from Calendly, Cal.com, Google Calendar or your booking app.
- 2
Paste and design
Paste the link, then add your colours, logo and a frame such as “Book an appointment”.
- 3
Download and test
Scan it on your phone and make a test booking, so you see what clients see.
How a booking QR code works
The code holds the link to your online booking page. When someone scans it, the page opens in their phone’s browser with your available times. They pick a slot, enter their details, and your booking tool confirms it and sends reminders. You don’t have to answer the phone or check messages to fill your calendar.
It works with any tool that has a public booking link, such as Calendly, Cal.com, Google Calendar appointment schedules, Microsoft Bookings, Fresha, Setmore, Acuity and SimplyBook.me.
Booking link or calendar event?
- A booking code lets people choose a time from your availability. Use it for appointments, consultations, classes and demos.
- An event code adds one fixed date and time to their calendar. Use it for a launch party, an open house or a webinar.
Where to use a booking QR code
- Salons, barbers, spas and nail studios: mirrors, reception desks and business cards
- Clinics, physiotherapists and dentists: follow-up appointments on the receipt
- Tutors, coaches and consultants: flyers and email signatures
- Fitness studios and yoga teachers: class timetables and window posters
- Car services and repair shops: the next service on a sticker or invoice
- Real estate agents: property viewings from the “For sale” board
- B2B sales teams: demo bookings from trade show stands and brochures
Get more bookings from each scan
- Link to the most popular appointment type, not a long menu of options. Fewer choices, more bookings.
- Keep the form short. Name, phone and email are usually enough.
- Turn on reminders in your booking tool to reduce no-shows.
- Say what they’ll book in the frame: “Scan to book a free 15-minute consultation” is clearer than “Book now”.
- Check it on a phone. Most people who scan will book on mobile.
When clients prefer to talk
Some people would rather ask a question first. Print a WhatsApp or phone call code next to the booking code, and let them choose. After the appointment, a Google review code on the receipt helps the next client decide.
Static and dynamic codes
This is a static code: free and permanent, but fixed after printing. If you might switch booking tools, from Calendly to Cal.com for example, use a dynamic QR code. You can change the link without reprinting, and see how many people scanned each placement.
Print tips
Booking links are usually short and scan well at 2 cm on cards. On shop windows and posters, make it about a tenth of the distance people stand away. Keep the code dark on a light background, and leave a clear margin around it.
